1. Joining Activities

  • Initiating pre-joining formalities and new joiner engagement
  • Orientation day coordination (1 day program)
  • Hiring the new joiner in Workday.
  • Checking mandatory documents and Uploading the joiner documents in Workday.
  • Coordinating on on-boarding, Joining formalities & Induction for new joiners.
  • Checking / getting the personal details & benefits details updated in Workday.
  • Following up with the joiners to make sure, there details are updated on-time in Workday for payroll processing.
  • First point of contact for different queries from new joiners/employees and help resolve, guiding them to correct POC’s or HR@groupon.com. Support on all HR related assistance.

2. Background Verification Process:

  • BGV coordination (Follow-up with new joiner to complete the forms)
  • Closing on the insufficiency & getting the case to closure (includes coordination with BGV vendor & Employees)
  • Uploading the BGV reports in workday.
  • Report preparation for Background Verification Status.
  • BGV Invoice processing.

3. Track Jackets, Exits & Employment verification

  • Green / Black Jackets distribution coordination
  • Leavers – exit clearance, formalities and providing Relieving & Service letter
  • Ex-employment reference check (verification) – Chennai & Bangalore
  • Absconder process for leavers (who stop reporting to work – sending 2 or 3 letters accordingly)
  • Updating the tracker & intimating IT / Admin team for access removal accordingly
  • Updating termination in workday for Absconders
  • Uploading leaver documents in workday

4. Other initiatives / activities

  • Employee handbook – Maintaining & updating it
  • India HR skynet page – keeping it updated
  • Adhoc Letters based on requirements
  • Invitation letters for employees coming to India
  • Invite letter request for employees traveling outside India
  • Covering letter for employees traveling outside India
  • Employment confirmation letters and other adhoc letters (need basis)
  • Additional adhoc initiatives / activities (basis the requirements from the stakeholders at Bangalore)

5. Payroll process for Regular Employees:

  • Collating the variable payment elements (incentives, awards, and any missed exceptional time entries) and sharing the inputs with payroll team.
  • Updating & validating one-time payments in workday.
  • Providing the exit clearance inputs to payroll team on the payroll cutoff date for the leavers (for Full & Final settlement processing).
  • Active list reconciliation – final list to stop / pay salary.

6. Reports & Workday Transactions

  • Preparing Attrition Reports – separate for each orgs (like Tech / Non-tech), on monthly basis.
  • Gratuity payment Inputs to finance teams.
  • Leave balance & personal details report for ESIC (for local statutory compliance).
  • Reports for local statutory compliance vendor, basis the requirements.
  • Supporting on Engineering specific details for Hello Bangalore, work anniversary reports.
  • Adhoc reports (there would be lots of adhoc report requests from stakeholders).
  • Job change transactions – Adhoc Transfer, IJP Moves, Location changes, personal details & other workday triggers.

7. Contingent workers payroll / time entries input (its for a small set of contingent workers):

  • Requesting time sheets from managers.
  • Validating & sending the timesheet inputs to Randstad.
  • Maintaining month on month leaves tracker for the contingent workers.
  • Processing the monthly salary invoices.

8. Workday Automation & Helpdesk tickets

  • Suggesting, value add automation basis the day to day process
  • Handling India & Australia HR helpdesk tickets.
